Two new vacancies at The Robertson Trust

We are delighted to invite applications for two new roles at The Robertson Trust. These are for a Facilities Assistant (Glasgow) and Receptionist Administrator (Stirling), both with a closing date of 21st January.

Facilities Assistant (Glasgow)

The Robertson Trust are looking for a Facilities Assistant, based in Robertson House, to provide a welcoming and safe environment to all that visit us. If you would like to be part of one of Scotland’s biggest independent funders, with the clear aim of tackling poverty and trauma, this role could be for you.

We want to see a Scotland where everyone is valued and able to flourish. Over the next decade, we have committed to use all our tools and resources, including our sites at Robertson House, Glasgow and The Barracks, Stirling, to work with others to reduce poverty and trauma across four themes:

The Facilities Assistant will have current demonstrable experience of supporting events and facilities service, ensuring excellent customer service.

The key focus of the role is to support the Facilities & ICT Manager with the delivery of events and facilities services at Robertson House, Glasgow, for staff, visitors, and tenants in a welcoming, safe environment.  This involves being the first point of contact for the site for contractors to ensure the building and its property is maintained to a high standard.  Liaise with and support the receptionist and café manager to ensure the building and its events are running efficiently and effectively.

Key responsibilities:

  • Liaise and respond appropriately to tenant queries.
  • Assist with maintaining the property to an acceptable condition utilising the appropriate contractors ensuring that the site is always fully operational.
  • Cover reception, when required.
  • Support café point of sale at peak times.
  • Liaise with reception staff on event planning and room set up, including any Audio-Visual requirements are setup correctly.
  • Support hospitality when required, setup teas/coffees/water and food in meeting rooms.
  • Carry out fire drills with external contractor and record findings.
  • Carry out routine building and meeting room checks for services and health & safety compliance, ensuring any issues are dealt with in a prompt and efficient manner.
  • Carry out duties of a First Aider and Fire Marshal on completion of training.
  • Assist with the local management of environmental matters met such as recycling, and any issues are resolved. Record all recycling data and file transfer notes appropriately.
  • Provide support at The Barracks Stirling, when required.

The Person

We are looking for someone with current demonstrable experience of working in a facilities service role and an understanding of supporting events, where you can communicate, build and maintain relationships with multiple stakeholders. You should have excellent communication and customer service skills with the ability to identify customer needs and offer suitable solutions whilst managing expectations.  You should be proficient in using Microsoft Office and it’s desirable you have experience of CRM software and its use in supporting events and facilities services.  It is essential that you can work autonomously, proactively and stay calm under pressure, with excellent problem-solving skills.

Receptionist Administrator (Stirling)

The Robertson Trust are looking for a Receptionist / Administrator, based at our Stirling charity hub The Barracks Conference Centre, to help us provide an excellent customer experience to all that visit us. If you would like to be part of one of Scotland’s biggest independent funders, with the clear aim of tackling poverty and trauma, this role could be for you.

The Receptionist / Administrator will have current demonstrable experience of working in a customer facing role, providing a high standard of professionalism and excellent customer service.

The key focus of the role is to support the Venue Manager in the efficient, safe, and effective operation of The Barracks site, when hosting staff, visitors, and tenants.  This involves being the first point of contact for the site, providing a welcoming environment with a courteous, friendly, and professional manner.

 

Key responsibilities:

  • Answer incoming calls in a prompt and professional manner, responding to stakeholders needs accordingly.
  • Monitor booking mailbox, answer emails and offer advice around booking spaces within the Barracks Conference Centre
  • Maintain safety and security, complying with procedures and regulations and controlling access by issuing visitor badges and security fobs, as required.
  • Perform duties of Chief Fire Warden, ensuring all guests receive full details of evacuation process.
  • Liaise with and assist the Facilities Assistant on event planning and room set up, including any Audio-Visual requirements, when required.
  • Liaise with the catering supplier to manage any catering requirements for meetings and events.
  • Minute taking at meetings, when required.
  • Liaise with approved suppliers and contractors, as required, and ensure any compliance visits are recorded.
  • Support reception at Robertson House site in Glasgow, when required.

The Person

We are looking for someone with current demonstrable experience of working in a customer facing role, where you can communicate, build, and maintain relationships with multiple stakeholders. You should have excellent communication, organisational and time-management skills with the ability to adapt and prioritise conflicting demands effectively.  You should be proficient in using Microsoft Office and it’s desirable you have a good understanding of Sharepoint, Microsoft Teams and Zoom.  It is essential that you can work as an individual and collaboratively as part of a team, with excellent problem-solving skills and attention to detail.
